Duplicate Patient Detection at Enrollment
Overview: NeuroFlow now automatically checks for potential duplicate patient records when a new patient is being added manually. Before a record is saved, the system compares the incoming information against existing patients and surfaces a warning if a likely match is found - preventing duplicate records before they're created. This is a significant improvement for care teams managing high-volume enrollment workflows where accidental duplicates can disrupt care continuity and reporting accuracy.
Key Capabilities:
At the final step of manual patient creation, if the system finds a potential match based on first name, last name, date of birth, phone number, or email address, a warning is displayed before the record is saved
Clinicians can review the potential duplicate and navigate directly to the existing patient record, or proceed with creating the new record if the match is not actually a duplicate (e.g., two patients who legitimately share a name and date of birth)
If the External ID entered during patient creation already exists for another patient record, a warning appears before saving — protecting the integrity of data linked to your EHR or other systems.
Important Notes:
Applies to manual patient creation only — does not affect API-based enrollment or eligibility file imports
Clinicians may override any duplicate warning and proceed with record creation when clinically appropriate
